Terms and Conditions SW DANCE Academy
Please ensure that you read the terms and conditions of our monthly subscription.
SW DANCE Academy prides itself on providing affordable dance classes in our communities and this year we have been working hard behind the scenes to look at how we can remove the fee pressure points for parents at the start of each term.
MONTHLY SUBSCRIPTION
SW DANCE Academy class fees are paid as a monthly subscription payment structure, much like a gym membership. This is to ensure we can spread the termly fees into manageable monthly payments, whilst still offering the highest quality training at a fair and competitive price.
Our subscriptions are rolling on a monthly basis and are based on the number of classes your child(ren) are scheduled to attend between their first class following a trial and December 2025 (excluding school holidays).
Your payment plan covers the cost for term time only classes and the annual cost is spread equally over the months of the year. Fees/subscriptions are therefore still payable during school holiday months, where no lessons are taking place.
As classes are planned on a termly basis and your payments are on a running subscription with monthly payments, you do not need to re-book each term as you will automatically be re-enrolled. If you wish to leave or change classes, please see Cancellation of Subscription below.
As our costs are fixed, fees remain payable in cases of student absence. There are no reductions for student sickness or holidays as per today’s policy at SW DANCE Academy. Term dates and class closure dates can be found on our website swdanceacademy.co.uk
PAYMENT
Payments will be taken from your debit card on the 1st of every month, with the exception of new trial students. New students will have the initial payment taken at the point of registration.
We do not store any credit card details on file. Once the details are entered, our database will automatically encrypt the first 12 digits and the SWDA Principal is only able to see the last four digits and the expiry date.
Please add your card to instruct your bank to collect payments. No further action will be required after this time.
FAILURE TO PAY MONTHLY SUBSCRIPTION
If we are unable to collect your monthly subscription payment on the 1st of the month, ClassForKids will automatically request the payment again on the 5th and the 7th of the month. If payment is not received the SWDA Principal will receive a notification each time. After the third attempt to collect payment, you will be contacted and asked to make a manual payment to cover the missing payment. Your next month subscription will not be impacted and will be collected on the 1st of the month.
CANCELLATION OF MONTHLY SUBSCRIPTION
Sometimes situations change and you may need to cancel your subscription. If you wish to cancel your subscription, please email info@swdanceacademy.co.uk requesting your cancellation by the administration team. Please include into email heading the word CANCELLATION, so it will be treated with the priority. Please note it can take 3-4 days to be processed.
SW DANCE Academy Cancellation policy, is that:
- If we receive your notice on the 1st day of the month, your membership will end on the last day of the same month. If we receive notice after the first day of the month, your membership will end on the last day of the following month. This means we will take one more monthly payment before cancelling your subscription. For example.
- If we receive your notice on 7th March cancellation will take effect from 30th April.
When you cancel your membership, we will send an email in acknowledgement to confirm the date that your subscription will end. Your child(ren) can attend classes until then. If you do not receive this acknowledgement, you must assume that we have not received your cancellation notice.
If you would like to come back, (we hope you do!), you may need to go on a waiting list as we unfortunately can’t guarantee availability in the same class.
We do not give credit for classes missed by a student. If for any unforeseen circumstances SW DANCE Academy has to cancel a class, we will endeavour to offer a make-up session or a credit.
CLASS ETIQUETTE
- Children ARE NOT allowed to enter a studio before the teacher has invited them in at the start of the class. This is to ensure that the studio is set and ready for the class arrival and in line with our insurance and studio hire policies.
- Children should arrive promptly, correctly dressed in SW DANCE Academy uniform and attend classes regularly. Please see our Uniform Policy below.
- It is important to drink fluids at regular intervals during physical exercise, please pack a named water bottle for your child.
- Please inform your teacher of any injuries before class.
- Teachers are only responsible for pupils during class time and only in the studio stated on the timetable.
- Children are not allowed to leave the studio unless accompanied by an adult or permission has been granted for older students.
- If your child is walking home alone without an adult picking them up or if they are meeting you in the car park, we need to be informed in writing and have your permission to let them leave the building alone.
UNIFORM POLICY
The SWDA uniform is mandatory and it is important for pupils to be correctly dressed for classes at all times
We take considerable pride in the professionalism of SW DANCE Academy and ALL students are required to attend class in SW DANCE ACADEMY uniform.
We have partnered with a fantastic uniform supplier who can personalise all of our uniform orders. We select high quality items, that are not too expensive with on line ordering facility directly with our supplier at starrdancewear.com at:
Welcome to Starr Dancewear page. Please note uniform orders take approximately THREE WEEKS (as they can be personalised), so do order in good time.
If you are attending a class for the first time (or on a trial lesson) and you do not have a complete uniform, it's fine to just wear something loose and comfortable. Trainers for commercial and hip hop and bare feet for freestyle and lyrical.
In addition to the correct uniform, long hair must be tied back in a ponytail for Freestyle & Lyrical classes.
MEDIA / PHOTO PERMISSION
Images of students may be used in SW DANCE ACADEMY promotional material to publicise dance events/achievements etc. These images may be used in various formats including our website, social media platforms and in the press.
